Using Invoice Templates

Invoice templates in billli help you create recurring invoices faster. If you frequently bill for the same services, templates save significant time while ensuring consistency.

What Are Templates?

Templates are pre-configured invoice structures that include:

  • Line items - Your standard products or services
  • Default quantities and prices - Pre-filled amounts
  • VAT settings - Correct rates applied automatically
  • Payment terms - Your preferred due date

When you create an invoice from a template, all this information is pre-filled. You just select the client and send.

Creating a Template

Go to Templates

Navigate to Templates in the main navigation.

Click New Template

Click New Template in the top right.

Name Your Template

Give it a descriptive name like "Monthly Retainer" or "Web Design Package".

Add Line Items

Add the products or services this template should include.

Save

Click Save to create the template.

Template Components

Template Name

Choose a clear, descriptive name:

  • ✅ "Monthly SEO Services"
  • ✅ "Website Maintenance Package"
  • ❌ "Template 1"
  • ❌ "New template"

Line Items

Add all recurring items with:

  • Description - Clear service/product description
  • Quantity - Default quantity (can be changed per invoice)
  • Unit Price - Standard rate
  • VAT Rate - Applicable VAT percentage

Set quantities to 1 as a starting point. You can easily adjust them when creating actual invoices.

Payment Terms

Set your default payment terms:

  • Due date offset (e.g., "14 days")
  • Any default notes or payment instructions

Using a Template

To create an invoice from a template:

Start New Invoice

Click New Invoice from anywhere in billli.

Select Template

Choose your template from the "Use Template" dropdown.

Select Client

Pick the client for this invoice.

Adjust as Needed

Modify quantities, add/remove items, or change prices if needed.

Send

Preview and send your invoice.

Managing Templates

Editing Templates

  1. Go to Templates
  2. Click on the template to edit
  3. Make your changes
  4. Click Save

Editing a template doesn't affect invoices you've already created from it. Each invoice is independent once created.

Deleting Templates

  1. Go to Templates
  2. Click on the template
  3. Click Delete
  4. Confirm deletion

Best Practices

One Template Per Service Type

Create separate templates for different service offerings:

  • One for hourly work
  • One for fixed-price projects
  • One for recurring maintenance

Review Regularly

Update templates when your prices or services change:

  • Annual price adjustments
  • New service offerings
  • Changed VAT rates

Keep It Simple

Templates should speed up invoicing:

  • Include only standard items
